Tresane

Data & Privacy

This page explains, in plain words, what the Tresane platform keeps about you, who can see it, how we use AI, and what you can ask of us. If anything here is unclear, email support@tresane.com and a person will answer within two business days.

Who takes part

Depending on how your organization works with us, you may be one or more of these.

Your organization's lead or coordinator
The person, or people, your organization names to run its work with Tresane.
A participant
Someone taking an assessment, working with a coach, or taking part in a team or cohort.
A respondent
A colleague a participant has asked for feedback in a 360 assessment.
A reader
Someone we have shared an insight or tool with, before any formal work begins.

What we keep

  • Your name and email address, and the organization and teams you are part of.
  • Your answers to any assessment or questionnaire you are invited to, such as the WeQ assessments, Getting Started, What Matters Now, or a short set of questions before a strategy session.
  • Coaching session records: the date, a short theme, what you and your coach agreed to do next, your coach’s notes, and any reflection you choose to write after a session.
  • Things you do in your portal: pieces you mark as useful, questions you ask Ask Tresane, and messages in your team’s space.
  • Email records: which emails we sent you and whether they were delivered. We do not track whether you open them or which links you click.
  • Scheduling: the details on a booking you make with us through Calendly, including any answers you give on the booking form.
  • Files: outside assessment reports and other files shared with you or by you in your portal.
  • Star ratings you give a piece you have read.
  • If you help your organization look after a group of businesses, those businesses and the check-ins recorded for them.
  • When someone we are getting to know opens a piece in their Tresane space, we record which piece and when, so our next conversation can start where their interest is. Only our team sees it. This is about pieces opened in the platform, not emails.

Who can see it

  • You can see your own answers, reports and session records in your portal.
  • Your Tresane coach, and the Tresane staff who look after your organization, can see everything above for the people they work with.
  • Your organization's lead or coordinator can see who is taking part and how it is going, and can open individual reports and coaching session records (date, theme and agreed next steps; your coach’s notes and your own reflections stay with you and your coach) for people in their own organization.
  • Your Tresane coach reads team answers to open questions with names on them. What the team sees is set out on each set of questions before you begin. For Getting Started, the team reads the answers themselves, in the words they were written, with names taken off, along with a short summary of where it agrees and where it does not.
  • What Matters Now answers are read by you and your Tresane coach only.

If you join a cohort hosted by another organization, that organization’s lead and the other members of the cohort can see what is shared in that cohort. No one else outside your organization and your Tresane team can reach your information. Every request in the platform is checked against the person asking before anything is shown or changed.

If you give 360 feedback

Your name is never shown with your answers. The feedback form explains exactly how your answers are shown before you begin.

How we use AI

We use Claude, made by Anthropic, as a writing and thinking assistant. A person always reviews what it produces before anyone else sees it, and nothing it drafts is sent on its own.

After a coaching call
Your coach gives the transcript to Claude, which drafts four things for your coach to check: a short summary, the follow-up email to you, the next steps you agreed, and a few pieces worth reading. Your coach edits these before anything reaches you. Claude also gives your coach a short read of how the conversation went, such as how much of it was about where you have been and where you are going. It helps your coach prepare for next time. What we keep: the session's theme, the next steps and the follow-up email, which become your session record in your portal, and the summary and short read Claude wrote for your coach, which only your coach sees. What we don't keep: the transcript. It is locked while Claude works and deleted within an hour.
Team questionnaires
Before Claude reads a team's open answers to draft the combined picture, every name is replaced with a number. Each answer’s rating goes with it. Please leave names out of what you write, because we do not remove names typed inside an answer.
Ask Tresane
When you ask a question in your portal, Claude answers from Tresane's own library. Your question is sent without your name.
Behind the scenes
We use Claude to help write Tresane's own content and proposals, and to help your coach draft emails to you. For an email, Claude may see your first name, the theme of your last session, what you agreed to do next, and the titles of pieces we have shared with you since. Your coach reads and edits every draft, and sends it.

Your individual assessment scores and your own report are never sent to AI. Anthropic does not use information sent through its business service to train its models.

Recording calls

With your OK, your coach records coaching calls using Plaud, a recorder and transcription service, so they can listen fully instead of taking notes. You will be asked at the start of your first call, and you can ask for any call not to be recorded. Plaud turns the recording into a written transcript, with names, the way notes of a conversation would read. Once your coach has used it, they delete the recording in Plaud, which removes the transcript there too.

The services that help us run the platform

We never sell your information. We share it only with the companies that run parts of the platform for us, and only so they can do that job.

  • Supabase: our database and sign-in.
  • Vercel: hosts the platform.
  • Anthropic: the AI described above.
  • Resend: sends our emails.
  • PDFShift: turns a report into a PDF when one is requested.
  • Calendly: scheduling.
  • Plaud: call recordings, as above.
  • Microsoft: sign-in for Tresane staff.
  • YouTube and Vimeo: videos in a piece load from their sites.

How long we keep it

  • Call transcripts: deleted within an hour of processing.
  • If you join a group through a link someone shared, we hold your name and email until Tresane welcomes you, or delete it within 60 days.
  • Everything else: kept while your organization works with Tresane, so your history and progress stay with you. We review closed engagements once a year and delete what is no longer needed. You can ask us to delete your information at any time.
  • Reports are not stored as files. A report is built from your answers each time it is opened.

What you can ask of us

  • A copy of your information, in a readable format.
  • A correction, if something is wrong.
  • Deletion, at any time.

Email support@tresane.com. We will do it within 10 business days.

If something goes wrong

If your information is ever exposed, we will tell you and your organization within 72 hours of finding out, say what happened, and say what we are doing about it.

Questions about your information? Email support@tresane.com and a person will answer within two business days.
